Director of First Impressions
We are an innovative leader in providing high-quality and efficient title processing and real estate services. Our customer service department plays a crucial role in assisting clients both over the phone and in person, ensuring a positive experience with our company.
As the Director of First Impressions, your primary responsibility is to offer exceptional customer service to all clients, whether via phone or in person, helping them with their inquiries and directing them to the appropriate department. This position is vital to our company, as you are the first point of contact for our customers. You will also ensure that the reception and kitchen areas are always pristine, leaving a lasting, positive impression on our visitors.
Key Responsibilities:
Administrative Tasks:
- Greet visitors both in person and over the phone, answering inquiries or redirecting them to the correct department.
- Manage office supply inventory, coordinate the maintenance of office equipment when necessary, and order new supplies as required.
- Direct visitors to the appropriate areas, notify staff of arrivals, and make photocopies of identification when needed.
- Sort daily mail.
- Bake cookies daily, manage the stock of guest amenities (soda, cookies, pens, etc.), and perform light cleaning in the reception area, training room, and boardrooms.
Event Coordination:
- Communicate with educational instructors when adding events to the EDU program, confirm classes, and send calendar invitations.
- Collaborate with the AE team to evaluate new classes before including them in the program.
- Collect event details (headshots, bios, class descriptions), post event information on our website, and maintain an event file for future reference.
- Maintain an organized spreadsheet for both the DTC and Westminster EDU calendars.
- Reserve boardrooms and training rooms for events on internal calendars.
- Manage RSVP lists and sign-in sheets for events, distributing them to the appropriate parties.
- Input RSVP data into Constant Contact.
- Communicate with Loan Officers to arrange course sponsorships when required.
- Set up the EDU Training room with coffee, water, and cookies, and gather necessary serving dishes for sponsors' refreshments if needed.
Recordings and Deposits:
- Receive Earnest Money Checks and loan documents daily, distributing them to the correct parties.
- Provide receipts for checks in accordance with security procedures.
- Upload documents to Resware when necessary.
- Process deposits as needed on a daily basis.
Qualifications:
- High school diploma.
- Basic proficiency in Microsoft Office Suite.
- Understanding of administrative and clerical procedures.
- Familiarity with customer service principles and practices.
- Ability to manage a multi-line phone system.
- Self-motivated and proactive.
- Strong attention to detail.
- Excellent problem-solving skills.
- A people-oriented attitude.
- Bilingual or multilingual abilities are a plus!
