Job Description

The Assistant Property Manager (APM) position is an opportunity to join a young, fast growing property management company, specializing in the management of Boston area condominium associations. The APM will assist with the implementation of the policies, procedures and programs that will assure a well-managed, well maintained building, placing maximum emphasis on positive response to the concerns and needs of the principals and residents (customers).
Field Job Responsibilities include but are not limited to:

  • Periodic onsite presence at properties to address customer requests and concerns
  • Meet vendors on site to provide access, facilitate the scope of work, and oversee maintenance through completion
  • Periodic onsite presence at properties to monitor vendor performance and assure full compliance with standards established in service agreements and vendor contracts.
  • Assist with the routine property inspections inclusive of comprehensive notes and photos, and the identification of immediate and long term maintenance needs. Inspection reports to be compiled via company policies and procedures.
  • The APM ensures that the property is maintained in an appropriate and cost effective manner.
  • Keep open communication with the company staff on observed maintenance needs
  • Periodically participate in Property meetings with Staff and property trustees.
  • Obtain customer approval through signatures to assist with property administrative duties

Office Job Responsibilities (can perform remotely) include but are not limited to:

  • The APM will routinely update new and in-progress tickets through completion within the company's's property management software.
  • The APM will establish new tickets based on requests from customers, company partners, or by his/her own accord.
  • Ensure timely and accurate completion of tickets, resident requests; follows-up as needed or required to resolve discrepancies/problems.
  • Completion of property Inspection reports submitted to the partners for review and shared with customers.
  • Schedule vendor meetings in conjunction with the Customer relationship manager (CRM)
  • Drafting Memos, emails, or making phone calls to customers to communicate property matters including but not limited to: maintenance schedules, enforcement of bylaws; owner meetings; preventative practices and safety measures in anticipation weather events
  • Assist the PM with project bid management through scheduling of third parties to submit bids, follow up emails/calls to obtain bids, and summarizing via emails to trustees on vendors, scope of work, project timelines and price points.
