Job Description

Job Summary:
This position provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for greeting visitors, answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties. A critical responsibility of this position is to place daily catering orders, set up lunchroom, and assist in hosting business meetings.

  • Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate's voice mailbox when the associate is unavailable.
  • Greets and directs visitors to the company.
  • Takes and retrieves messages for various personnel.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Receives, sorts and forwards incoming mail. Maintains and routes publications.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Assists with other related clerical duties such as photocopying, faxing, filing and collating.
  • Provide Administrative support to different departments and management
  • Ensures full compliance with Company Safety policies, procedures, GMP's, Ethical Business Practice, and SOP's at all times.
  • Other duties as assigned.

Education and Experience:

  • High School Diploma / Associate's degree
  • 1-2 years prior work experience.

  • Must have excellent communication, organizational and interpersonal skills
  • Strong written and verbal communication skills/ ability to interact effectively with inside/ outside people through correspondence or phone
  • Excellent clerical and typing skills
  • Basic software skills (PowerPoint, Excel, Word)
  • Ability to multi-task and prioritize within a fast paced environment
  • Team player/ willingness to participate in "task teams" to get projects accomplished
  • Ability to work under pressure and meet tight timelines
  • Must be willing to work overtime as needed
