Are you a career receptionist with experience in a polished office? We are looking for an individual who values the role of receptionist as the face of the company as much as we do. If you are someone who takes great pride in being the gateway to the company for our clients, we are conducting interviews immediately!

Duties and responsibilities:

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable with all necessary stationery and materials (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Arrange travel and accommodations, and prepare vouchers
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Operate multiple phone lines and greet incoming visitors
  • Sort and distribute incoming mail/stamp outgoing mail
  • Send and write company email memos using Microsoft Outlook
  • Provide assistance to the HR Manager
  • Order Business Cards, office supplies, etc.

Requirements:

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional upbeat attitude and appearance
  • Solid written and verbal communication skills
  • Ability to send and draft e-mail memos
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Impeccable Customer Service attitude
  • High school degree; additional certification in Office Management is a plus
  • MUST be highly proficient with Microsoft Office
  • Must have 2 consecutive years of recent receptionist/administrative experience
  • Ability to handle requests and inquiries with little direction
  • A strong focus on detail and organization of work
  • Available to start working IMMEDIATELY!
  • Hours: M-F from 8AM-5PM w/ a 1 hour lunch
