Program Assistant needed for University in Princeton.
We are seeking a program assistant to provide administrative support to our staff, faculty, and students. This is a part-time position (4.5 hours per day, M-F) for approximately 3-4 months.


MUST HAVE UNIVERSITY EXPERIENCE!


Responsibilities include:

  • Program receptionist: must represent the Program to students, faculty, and guests
  • Answer the phone, screens calls/messages, and address and/or help resolve questions and concerns
  • Assist Program Director, Manager, and Communications/Events Manager with organizing logistics and communications for meetings, committees, initiatives, travel, etc.
  • Order and maintain office supplies and equipment
  • Provide support to faculty: assist with Blackboard; ordering textbooks and desk copies; arranging media support; arrangements for visiting lecturers (travel, accommodations, honoraria, meals, etc.); make arrangements for field trips as required
  • Organize workshop series: publicize workshop series; distribute posters and flyers; book rooms; travel arrangements and honoraria for speakers; order, set up, and clean up after lunches; send out announcements and invitations and track responses
  • Provide administrative support to graduate students groups and events, such as meetings, salons, and conferences
  • Work with undergraduates to plan Department social events


Qualifications:

  • High school degree and three years of relevant experience, or a Bachelor's degree.
  • Strong work ethic; attention to detail; commitment to completing work on a timely basis and at the highest level of accuracy and quality
  • Excellent problem-solving skills and ability to quickly learn new tasks
  • Ability to work both independently and as part of a team
  • Excellent interpersonal and written and verbal communication skills
  • Discretion and the ability to appropriately handle sensitive, confidential information
  • Strong organizational skills with the ability to manage multiple projects and tasks at the same time
  • Familiarity with University policies, procedures, and administrative structure
  • High level of computer literacy, including proficiency with Microsoft Office Suite (Word, Excel, Outlook etc.) as well as University systems including The Princeton MarketPlace, Concur, Prime, and Blackboard



Hours: 9:00 - 1:30 M-F (22.5 hours per week)
