Our client, a manufacturing company located in the New Brunswick area, has an exciting opportunity for a Payroll Specialist.


The Payroll Specialist will be responsible for ensuring the accuracy and timeliness in processing weekly and bi-weekly payroll while providing superior customer service in a professional and confidential manner.
Candidate must be customer service minded, to deal with with internal employees. An energetic and positive outlook is required.
Primary responsibilities will include the validation of payroll wages paid and responding to inquiries from employees and managers, as well as acting as a liaison between the Company and several third party professional vendors for temporary employees. The Payroll Specialist position must adhere to tight deadlines and requires an exceptional ability for time management and organization. In addition, this position may carry out responsibilities in some or all of the following functional areas: benefits, employee relations, new hire orientation, employment, labor relations, workers compensation, unemployment, leave administration.
This job is located in central NJ and the hours are 8:30 - 5:00pm M-F.
Responsibilities include:

  • Processing of bi-weekly payroll and 401(k) plan administration tasks
  • Review of timecards clock in/out or other records of employees' hours for accuracy, and verifies attendance and hours worked, while consulting employees or managers to correct errors.
  • Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles, and department/ division transfers. These reviews include but are not limited to changes to employees' deductions for federal, state and local taxes; insurance premiums; and retirement plan contributions.
  • Directing the production and issuance of paychecks or electronic transfers to bank accounts via fully reviewed and accurate payroll ledgers submitted in third party processor's system.
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Determines payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer's social security, unemployment, and workers compensation payments.
  • Answer payroll questions from employees and produce payroll reports when requested by managers
  • Year-end reviews of required W-2 and 1099 statements for accuracy
  • Reconciliation and recording of payroll journal entries
  • Processes updates to employee information. (ex. Overtime, bonus, terminations, leaves of absence, banking details)
  • Comply with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions
  • Process new hire/termination paperwork and enter employee information into the payroll system. Follow up on missing items to ensure compliance.
  • Maintain I9 filing system including compliance with E-verify. Annual audit of employee files
  • Compute wages, deductions and other compensation.
  • Review and enter garnishments and other liens on employee wages.
  • Process and distribute employee paychecks.
  • Issue and record adjustments to pay related to adjustments or retroactive increases/deductions
  • Prepare reports for all insurance carriers, work with finance department for all bills, other reports as needed
  • Maintain spreadsheet for vacation, enrollments
  • Disability, unemployment, 401k audits, and unemployment claims, Employment verification
  • Recruiting to include, job ads, screening resumes, interviews, new hire orientation set up and Complete e-verify, background checks
  • Maintains payroll guidelines by writing and updating policies and procedures, creates training for management
  • Responds to employee questions concerning group health insurance and other benefit programs
  • Accounting functions as needed


Qualified candidates should have 3-5 years payroll experience and a BA Degree in Accounting or Administration. Bilingual in Spanish or Hindi, preferred but not required.
