Job Description

Office Assistant needed for client in the South Brunswick, New Jersey area. This very possible temp to hire opportunity needs someone who has excellent microsoft suite skills; particularly excel; as you'll be reporting to the Service Manager.

  • Strong computer skills required including Microsoft Word, Excel, Outlook, Adobe Pro, Purchase Order System
  • Organized and excellent attention to detail
  • Ability to multi-task and stay focused through phone interruptions, etc.
  • Ability to work independently
  • Familiarity with HVAC/Service Industry helpful
  • Familiarity with an automated dispatching/service management software helpful

Job Requirements

  • Take incoming calls from customers, mechanics, and vendors and direct them to the proper person or department.
  • Maintain accurate records and files
  • Issue and process Purchase Orders
  • Process Invoices
  • Keep track of ongoing maintenances- Order necessary materials & provide department driver with a material list for him to pull from inventory.
  • Develop and maintain a good rapport with customers, vendors and mechanics
  • Copy blueprints when necessary
  • Assist with mechanic dispatching and coordination of driver responsibilities
  • Assist with part ordering and materials for service calls, projects and maintenance
  • Assist with researching material and parts pricing and availability for customers, mechanics and co-workers.
  • Update pricing for common stock items, belts & filters.
  • Update manufacturer list on Excel as needed to make part ordering easier
  • All other administrative/clerical responsibilities as required by the department.
