Job Description

We are seeking an Office Administrator to join our fast-paced corporate office. This position is responsible for providing administrative support to the Company. The position facilitates prompt and professional correspondence and communications and is responsible for central telephone system and reception area coverage.

Job responsibilities include, but are not limited to, the following:

  • Handles central phone system and transfer calls to appropriate employees
  • Greets and assists visitors as necessary
  • Maintains the overall appearance of the office
  • Provides routine office support including distributing mail, supply inventory, filing, copying, printing, scanning, etc. Maintains office equipment to ensure reliable usage
  • Provides administrative support to management during meetings with clients
  • Prepares / Maintains conference room appearance pre / post meetings
  • Handles confidential and time-sensitive information
  • Orders office supplies for NJ and other locations
  • Responsible for coordination of daily lunch order
  • Plans special events and activities
  • Assists with projects as needed

Qualified candidates shall exhibit one or more of the following attributes:

  • 3 years of Receptionist experience preferred
  • Previous experience working within an Accounting or Finance department
  • Proficiency in Microsoft Office suite of products including Word, Excel, Outlook, PowerPoint
  • Excellent oral and written communications skills
  • Ability to multitask in a fast-paced environment
  • Strong attention to detail
  • Able to handle private / confidential information
