General Description:
The Marketing Projects Coordinator manages a variety of print and digital projects from brochures to signage to invitations-and provides general administrative support for the Marketing Department. A highly organized professional with keen attention to detail, he/ she internal departments to identify each project's needs, gather the necessary inputs, and build project schedules. Works thoughtfully in a fast-paced environment to ensure that projects are delivered on time, on budget, and in keeping with brand standards. Manages relationships with outside vendors, including printers and outside designers, to monitor quality and secure favorable pricing. The position provides administrative support for the Marketing Department and its advertising efforts, trafficking ads, processing invoices, and gathering campaign performance reports.

Essential Duties:
- Managing the production process for all print communications and select digital projects:

  • Working across departments to discuss upcoming projects. Assisting our internal clients in defining the scope, budget, timelines, and necessary resources to meet their needs
  • Creating production schedules
  • Gathering necessary content for the graphic designer or outside contractors to begin their work
  • Soliciting bids for printing
  • Submitting files and coordinating with printers, mail houses, and third-party vendors
  • Monitoring the production process to see that projects are completed on time and on budget

-Serving as the primary production contact for member and donor publications, including our membership magazine (printed 3 times a year) and our annual report:

  • Working closely with VP for Marketing, editor, graphic designer, and printer to build and monitor detailed production schedules
  • Providing additional support as needed, coordinating photo shoots, managing outside contractors, and sourcing imagery

- Supporting advertising efforts:

  • Gathering inputs for internal and external designers to build ads
  • Trafficking ads to media outlets
  • Maintaining budgets
  • Gathering performance reports from vendors
  • Maintaining files on media campaigns
  • Providing general administrative support

Qualifications and Education Requirements:

  • B.A. or B.S. degree required
  • Excellent project management skills with a strong attention to detail
  • Excellent interpersonal skills and ability to interact with a wide variety of people, both internally and externally and at all levels of the organization
  • Strong organizational and analytical skills
  • Strong written and oral communication skills
  • Demonstrated ability to manage multiple tasks and prioritize without direct supervision
  • Demonstrated ability to complete tasks in a timely manner
  • Ability to creatively think about and approach problems and assigned projects
  • Proficient with Microsoft Office
  • Familiarity with Photoshop and Adobe Creative Suite, as well as project management software (BaseCamp, Teamwork, etc.) are plusses
  • Must possess valid driver's license
  • Must be able to lift and push up to 20lbs
  • Interest in American history a plus
