Job Description


Overview

Provides Administrative Support for our office staff and executive team. This position will multi task a variety of front office activities.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Office Supplies & Supply Room Inventory:

  • Maintain office supplies & Supply Room Inventory. Order supplies as needed
  • Receives, stores, issues and replenishes office supplies. Verifies incoming supply orders
  • Processes IT help/repair tickets for office equipment as needed
  • Maintain postage machine


Marketing:

  • Catalog, DVD & Literature requests
  • Labels, Letters and Mailings
  • Trade show special projects and mailings
  • Bulk Mailings & Promotions


HR Admin Support:

  • Assist with Company Events & Luncheons
  • New Hire Welcome Cards, Birthday Cards, distributing & posting HR Notices & Communications.
  • New Hire Orientation Binders.
  • Issue Employee Work style Assessments & Pre-hire assessments
  • Print Above & Beyond certificates
  • Print employee badges
  • Distribute HR flyers
  • HR copying, scanning, mailing


Front Desk Back-Up (during receptionist's breaks or out of office):

  • Answering incoming calls, directing to appropriate department and taking messages.
  • Welcomes visitors by greeting them, in person or on the telephone in a professional, friendly and hospitable manner.


General Office:

  • General clerical assistance for all departments to include receiving and distributing electronic faxes, copying, and scanning documents.
  • Compiles and prepares expense reports for COO
  • Prepares/Edits PowerPoint presentations for the executive team
  • Calendar management and meeting set up for the COO and CFO
  • Coordinate traveling, meetings, visitors, and catering
  • Maintain and update calendar for conference rooms
  • Receives, sorts, and routes incoming mail to departments and individuals. Processes and dispatches outgoing mail. Wraps, seals, weighs, and posts outgoing mail. Operates postal machines. Processes "express/overnight delivery," registered and special delivery requests, and maintains appropriate receipts.
  • Other duties as assigned


EXPERIENCE

Education and Experience:

  • 2+ years administrative experience
  • High School diploma or GED required
  • Degree preferred
  • Bilingual Spanish/English Preferred
  • Extremely Proficient in MS PowerPoint, Word, Excel, MS Outlook and Internet Explorer.
