Executive Assistant
Executive Assistant supporting the CEO for a 3 to 31/2 month Maternity leave.
Contractor position Executive Assistant
Must have experience managing processes relevant to contract management, databases, confidential files, and additional clerical assignments. Individual should be comfortable with managing high volumes of confidential data and have excellent organization and prioritizing skills.

Position Tasks, include but not limited to:

  • Receiving Calls, taking messages, and/or announcing to CEO
  • Walk-ins announce to CEO and provide direction to visitor
  • Send mail on behalf of CEO
  • Manage President, CEO, and conference room calendars
  • Manage Subcontract Agreement process, prepare documents, mail, and file
  • Receive, track, and file all bonds
  • Reconcile corporate credit card monthly billings
  • Notary (this is nice but not required)
  • Receive, track, and file all Certificates of Insurance
  • Provide Certificate of Insurance and Bonds for executed contracts
  • Renew Business Licenses as required
  • Receive, log, and provide incoming checks to AP
  • Receive and sort incoming mail
  • Order flower and manage contributions as requested by CEO, President and HR
  • Create bid forms as required by estimating department
  • Schedule travel, accommodations, and seminars for executive staff
  • Order lunch for executive meetings as required

hours are 8:00 am to 5:00 pm Monday through Friday
