Executive Assistant to CEO
Job Summary:
The administrative assistant is responsible for assisting the needs of the CEO. The ideal candidate is intrinsically-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.   • Produce a variety of professionally written documents, including reports, business proposals, letters, memos, many of which are highly confidential, for Executives' use and/or signature.
  • Set up/maintain filing systems, Construction management files including: DropBox, Microsoft Programs, Adobe Acrobat, Etc.
  • Assist in answering phones (on a rotating schedule)

- screen/handle routine and/or non-critical items
- forward to other parties as needed

  • Maintain Executives' calendar, schedule meetings by coordinating with the CEO's schedule and the schedule of other needed participants of any upcoming meetings
  • Arrange travel, hotel, car reservations, and prepare itinerary for the CEO and guests of the office
  • Plan and Coordinate various events
  • Process departmental mail and distribute accordingly, especially coordinate with CEO to respond to urgent actions sent by mail
  • Perform additional assignments per Executives' direction.
  • Assist Project Management Team with distribution of project drawings, specifications, change order requests, etc.
  • Attend meetings as required on behalf of the department

What We're Looking For:

  • At least 2 years in administration in construction, engineering, or related fields.
  • Bachelor's Degree
  • Capable of independent thought, analysis, and problem solving skills, including delivery of same in written or oral presentation.
  • Excellent computer skills and knowledge of Microsoft; Outlook, Word, PowerPoint, Excel, and other applicable applications such as Go-To Meeting and Skype
  • Excellent written and oral communication skills required, i.e. researching information and drafting professional correspondence
  • Working knowledge of general office procedures and the ability to organize and coordinate group work efforts required
  • Self-starter with high level of initiative and ability to organize and coordinate group work efforts required
  • High level of neatness, organization, and flexibility

Job Type: Full-time
Salary: $20.00 to $25.00 /hour
