University in Princeton is seeking a professional Senior Executive Administrative Assistant for one of their departments.
The Executive Assistant provides high-level administrative support. In this role, the Executive Assistant works regularly with the leadership and campus partners on moving forward the priorities of the Office of the Vice President. In addition, the Executive Assistant will provide high-level administrative and project support to the Vice President

  • Provides high-level and proactive administrative support to the Vice President.
  • Serves as the initial point of contact for the VP with other university and external offices, and makes independent decisions on routing and resolution of incoming calls and emails.
  • Represents the office to, and interacts with trustees (as needed), senior administrators, managers, faculty, staff, students, and distinguished individuals outside the University.
  • Works closely with the VP to support campus partner and committee initiatives related to business, including creation and execution of materials (e.g., agendas, reports, minutes, presentations, and appointments).
  • Drafts, prepares and edits routine written correspondence, including presentation, agendas, and minutes as directed by the VP.
  • Manages budget and expenses for the VP.
  • Serves as a project manager on special assignments.
  • Tracks paid and unpaid absences for the VP and the VP's direct reports.
  • Schedules direct report and other internal meetings for the VP and follows up on projects, conversations and appointments.
  • Maintains the VP's calendar, exercising discretion and judgment as to priorities and effective use of the VP's time including scheduling meetings, making travel arrangements, and preparation of materials.
  • Provides direction on priority of meetings and schedule setting, and briefs VP in advance on all meetings and travel needs.
  • At least five to ten years of experience supporting executive level management, preferably in a higher education setting.
  • Ability to understand and be committed to the University's mission and culture.
  • Strong attention to detail, organization, prioritization, and information gathering and interpreting.
  • Computer proficiency, including a strong working knowledge of Microsoft Office suite of applications (Word, PowerPoint, Excel, Access, Visio, Outlook), and content management software. Knowledge of Princeton University internal systems including PeopleSoft and Concur is preferred.
  • Ability to respond quickly to changing business needs and to work with a high degree of flexibility and collaboration in a fast-paced, goal-oriented environment.
  • Ability to anticipate needs and to be proactive in helping to manage the VP's time and priorities.
  • Excellent customer service skills, both internally and externally.
  • Discretion, good judgment, and commitment to keep confidential all data related to yhe University.
  • Demonstrated diplomacy and professionalism to work with and command the respect of colleagues, campus partners, and alumni.
  • Strong organizational skills, including the ability to set clear priorities and manage time well.
  • Ability to work independently and make sound judgments about projects, priorities and responsibilities
