Job Description


Currently seeking a Contracts Administrator for a direct hire opportunity in the Hartford area. This position reports directly to the Director of Government & Military Contracts.
DUTIES/RESPONSIBILITIES:

  • Primary point of contact for new and existing customers.
  • Responsible for processing Receiving Reports in the USG's Wide Area Workflow (WAWF) System in a timely fashion.
  • Oversee quote/proposal process; ensure all approvals are obtained in accordance with Delegation of Authority policy and quotations are provided to customers in a timely fashion.
  • Responsible for the receipt and review of all new and existing contracts and orders; ensure contract/order received is in accordance with quotation/proposal.
  • Responsible for performing formal Contract Review process; review and disseminate contractual requirements to all required functional groups, including, but not limited to: terms and conditions, FAR/DFARS flow downs, special shipping instructions, Quality requirements and other customer requirements.
  • Responsible for the creation and maintenance of sales orders in ERP system; ensure backlog integrity and order pricing accuracy to eliminate invoicing errors.
  • Work with Manufacturing Operations to ensure on-time delivery of customer orders and provide status updates to customers.
  • Create and provide contractual and business letters to customers when necessary.
  • Identify areas of improvement and implement process improvements.
  • Maintain regular and effective internal and external customer relationships.
  • Other duties, tasks, and projects, as assigned.
  • Maintenance of secure and confidential company and customer information.
  • Strict compliance with ethics and business policies; adherence to policies and procedures.


QUALIFICATIONS:

  • Associate's degree in a related discipline; Bachelor's degree preferred.
  • Experience in a fast-paced business environment, previous experience in Contracts, Customer Service or Sales a plus. Prior experience with USG contracts preferred.
  • Knowledge of Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS).
  • Great attention to detail is critical to this position.
  • Excellent organizational skills required.
  • Self-motivated with the ability to work independently under general direction on a variety of projects.
  • Excellent time management and prioritization skills.
  • Strong interpersonal skills are a must.
  • Strong verbal and written communication skills.
  • Knowledge of contracts, ERP systems, Government web sites/systems (WAWF, FedBizOps, DIBBS, etc.) and contract administration functions (quoting, negotiation and contract management)
