Job Description


We are looking for an administrative assistant for our client in the Burlington area. This is a full-time position, and ideally looking for a candidate on a temp-to-hire basis, but open to a permanent, direct-hire for the right candidate.


  • Duties Include:
    • Process Contract, Purchase Order and Change Order requests received from the Project Managers
    • Enter Contract Information into Construction Management Software
    • Enter Purchase Orders and Change Orders into Timberline
    • Update Contract and Purchase Order Logs regularly
    • Scan and Link documents to Contract and Purchase Order Logs
    • Scan and Upload documents to system.
    • Mail Contracts, Purchase Orders and Change Orders to Subcontractors for signature
    • File Contracts, Purchase Orders and Change Orders to respective folders
    • Maintain Contract and Purchase Order logs weekly to ensure timely receipt of signed documents.
    • Maintain Logs for Subcontractor's Licenses
    • Retrieve and sort daily Contract Administration Mail
    • Receive and Ship packages as needed
    • Prepare and Compile documents for Construction Project Close-outs upon Construction completion. Includes Audit of Contract Logs and Purchase Order Logs.


    Requirements:
    • Advanced proficiency in Excel, Word and Adobe Acrobat
    • Prioritization of work schedule to maximize efficient time management with daily and specially requested tasks
    • Strong written and oral communication skills
    • Demonstrate dependability, flexibility and teamwork
    • Ability to follow complex oral and written instruction
    • Ability to interact and communicate effectively within the organization
    • Records and Information Management
