ADMINISTRATIVE ASSISTANT needed for Private School in Mercer County-
Minimum five years of experience in office management, bookkeeping and administrative duties

  • Comfortable working in schools and with students with learning disabilities; sensitivity to learning disabilities
  • Demonstrates excellent communication skills, including verbal, listening and interpersonal
  • Experience with computer technology, information networks and software (word processing, charts, tables, graphics and database), including demonstrable ability with Microsoft Word and Excel. Demonstrable ability to learn other systems on the job
  • Demonstrates strong organization, problem-solving and time management skills
  • Detail-oriented ability to deal with large volume and variety of tasks, data and deadlines
  • Ability to work collaboratively and cooperatively with others in a team environment


RESPONSIBILITIES:

  • Provide assistance to anyone who enters the main office. Greet visitors in a friendly, professional manner to ensure the visit is successful and visitor policies are met.
  • Record staff and student attendance, absences, tardiness; update official records in Paradigm.
  • Issues late passes to students.
  • As requested by the Principal or applicable staff, generate, update, print and provide other support for IEPs.
  • Answer telephones in a polite and courteous manner; answer questions, take detailed messages; transfer calls and direct calls to appropriate person.
  • Organize and manage school mail office.
  • Sort and distribute mail.
  • Under the direction of school administrators, complete and submit required state and district forms in timely manner.
  • Coordinate substitute teacher coverage.
  • Coordinate the fire and health inspections.
  • Arrange for off-site activities and events, including location and transportation.
  • Publish "Daily Bulletin" providing information on student and staff attendance, late arrivals; daily meetings and events.
  • Edit and distribute weekly newsletter to students, staff, and parents.
  • Maintain and distribute school calendar to staff and sending districts.
  • Order office and school supplies; maintain inventory.
  • Purchase supplies and services for staff via approved Purchase Order Procedure.
  • Arrange for maintenance/repair of phones, copiers, building maintenance, as needed.
  • Prepare deposit slips and make deposits for school.
  • Balance financial ledger for Student Activities Account and make applicable entries into Quick Books; maintain petty cash fund.
  • Order refreshments for school events.
  • Coordinate school-wide and group-specific fundraising events, including PAC (Parent Advisory Committee).
  • Update and maintain files of staff and students (including Paradigm).
  • Type correspondence and other materials; provides clerical support for school administrators and staff.
  • Attends courses, workshops and conferences based on goals formulated with and agreed to by Executive Director in the areas of office management, basic bookkeeping, and computer technology and software.
  • Assume other related duties/assignments assigned by the supervisor.
