Our client, a large organization in the HEB area, has an immediate need for an Administrative Assistant! The Administrative Assistant will be supporting a Purchasing Department Manager and 3 others in the department. The Administrative Assistant will perform general and program specific clerical functions for the purpose of supporting departmental activities.

Responsibilities:

  • Answering the phones, distributing mail and purchased orders, calendar scheduling, copying, filing, faxing, scanning, and other general office duties.
  • Responds to inquires of staff and administration regarding purchasing procedures for the purpose of providing information, direction and/or referral for addressing inquiry.
  • Review purchase orders for the purpose of facilitating on-site ability to acquire required supplies and/or equipment.
  • Reviews documents and data for incoming requisition, past purchases, reconciliations, inventories, etc. for the purpose of ensuring completeness and accuracy of purchasing process.
  • Assists with preparing formal bid documents for items and services for the purpose of ensuring that materials are in compliance with procurement regulations.
  • Communication with staff and vendors regarding procedural requirements for ordering and purchasing procedures, and availability for the purpose of facilitating the purchasing process with established practices.
  • Maintains purchasing documents, files and records request for proposals and vendor files for the purpose of ensuring the availability of documentation and compliance with established policies and guidelines.
  • Process financial data and documents for bids, incoming purchase requisitions, and mail for the purpose of updating and distributing information and/or acquiring resources to support purchasing operation in compliance with established guidelines.
  • Processes requisitions into approved purchase orders for the purpose of updating and distributing information and/or acquiring resources in compliance with established guidelines.



Education and/or Experience

  • Associate Degree with 2 - 3 years' experience or equivalent.
