Job Description

Experienced Administrative Assistant for a nonprofit healthcare focused company in the Princeton area - this temp to hire opportunity is for an administrator who will be performing highly skilled duties for a VP.

Qualifications: High school diploma or equivalent required. College degree preferred. Excellent communication, organizational, secretarial and word processing skills. Ability to work independently. A minimum of three to five years prior experience in a related position required.

  • Prepares and coordinates materials for advisory committee and other meetings including communications, electronic folders, room setup.
  • Records proceedings and prepares minutes and provides follow-up on actions as appropriate.
  • Prepares all communications (electronic and hard copy) such as letters, memos, and reports.
  • Drafts correspondence of a routine nature.
  • Screens incoming mail, telephone calls, takes messages and assists with maintaining calendar of Vice President and other department staff as applicable.
  • Schedules bi-monthly staff meetings.
  • Greets visitors, answers questions of a routine nature specific to administrative function; directs complex questions to appropriate resources.
  • Handles confidential records and insures that files are maintained both on and offsite and follows through on all pending matters.
  • Develops databases as necessary for department mailings/functions.
  • Coordinates quarterly process of organizing computers and hard copy files. Assumes full responsibility for maintaining storage process. Implements and maintains record retention system.
  • Provides phone coverage to the department and arranges coverage as needed.
  • Coordinates ordering of supplies.
  • Maintains Database for department specific areas to ensure accurate and up-to-date contact information of members:
  • Maintains Wage and Salary database in collaboration with Human Resources department.
  • Oversees and implements specific Surveys annually.
  • Maintains department's website content.
  • Coordinates scheduling for all department meetings.
  • Abides by the terms and conditions of the Confidentiality and Non-Disclosure Agreement.
