Job Title: Administrative Assistant
Work Location: Irving, TX

Job Description & Responsibilities:
  • Complete customer surveys for a variety of customer organizations (manufacturers, repair stations and other distributors)
  • Complete the surveys on a daily basis.
  • Recognize when input from other offices is required, coordinate with those offices and route the surveys appropriately.
  • Work with the government/defense representative responsible for government surveys.
  • Ensure the surveys are returned by the due date. Follow up as necessary.
  • Maintain files of the completed surveys, hardcopy and electronic.
  • Maintain and update the log of surveys completed. Maintain status on the surveys being worked.
  • Send company surveys to at least 40 suppliers a month on average.
  • Track responses and follow up with those suppliers who do not respond.
  • Provide basic administrative support to the Director, Global Quality.
  • Complete such tasks as preparing notices and reminders, coding invoices for AP, scheduling meetings, purchasing needed supplies and planning lunches.
  • Also, prepare charts as needed and develop/update documents for the Director
  • Provide administrative support to QA, PQS, RDR, and RSP as needed
  • Support preparation for the annual Certification Body audits.
  • Make the administrative preparations (reserve meeting room for all week, plan meals, ensure visit requests are done).
  • Ensure appropriate documentation is available for the auditors.
  • Ensure the auditors have what they need.
  • Assist in administering the QMS documentation worldwide.
  • Work with process owners as they draft documents and up-load the documents to the Sharepoint site.
  • Release the documents for use.
  • Format the documents and ensure the revision number, date and other information is accurate prior to publishing the document.
  • Assist in maintaining and updating master lists of documents for easy reference
  • Assist in administering the Global Quality Program.
  • Help maintain books for stocking locations worldwide and ensure the information on the locations is accurate.
  • Assist in updating the information as needed. Assist in updating slides to show capabilities of each location worldwide.
  • Assist in administering the Stamp Control program. Use the log page to track each stamp.
  • Assist in visiting each area at least once a quarter (all three shifts) and verify each stamp is used by the individual to whom it is assigned.
  • Assist in working with process owners to ensure needed stamps are obtained.
  • Help collect stamps no longer needed and give these to the CDC administrative staff for recycling.
  • Perform other tasks as assigned
  • Work overtime if needed and work on weekends (only saturday) if needed

Skills & Qualifications:
  • Able to read, write and comprehend English
  • Must have a high school diploma or equivalent
  • Can think on their feet
  • Can work under pressure
  • Must - Experience in Microsoft Office, including Excel
  • Must have experience in an administrative role
  • Must have strong administrative skills
  • Preferred Skills: Visio experience strongly preferred, Able to learn new computer skills, including SAP
