Administrative Assistant

Position Summary: Looking for an Administrative Assistant responsible for performing a variety of clerical and administrative duties such as providing support for managers and employees, serving as an initial point of contact, answering phones, planning and implementing meetings and events, among others.


  • Answer phones and greet visitors.
  • Schedule appointments and maintain calendars.
  • Collate and distribute mail.
  • Generate reports, prepare and monitor invoices.
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence.
  • Create and maintain filing systems, both electronic and physical.
  • Handle sensitive information in a confidential manner.
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

Requirements & Qualifications:

  • Excellent time management skills and ability to multi-task and prioritize work.
  • Proven admin or assistant experience.
  • Office Administration Procedures.
  • Supply Management & Inventory Control Skills.
  • Decision-making and Organizational Skills.
  • Ability to effectively communicate proficiently via phone and email.
  • Attention to detail and problem solving skills.
  • Bilingual (English/Spanish).
  • Proficient in MS Office.
  • High School Diploma required.
