Sales Operations Analyst
Department: Sales and Credit
Reports To: Sales and Credit Managers
Work Schedule: Monday to Friday, 7:00 AM - 4:00 PM
Job Summary:
The Sales Administrator & Analyst plays a key role in supporting the sales and credit teams through effective management of sales reporting, pricing, customer communications, and administrative tasks. This role helps ensure operational efficiency, enhances decision-making through accurate data analysis, and strengthens customer relationships.
Key Responsibilities
Sales Administration:
- Generate and maintain monthly sales reports using Oracle JD Edwards (E1) and Microsoft Excel.
- Transmit pricing and sales files daily to the V&G team; verify pricing reports for accuracy.
- Manage customer price and contact databases, ensuring up-to-date information.
- Prepare and maintain electronic storage for sales orders, customer purchase orders, and signed documents.
- Oversee job and pricing management systems, including Auto Load and Scalesoft.
- Support customers with technical data and submittals as directed by the sales team.
- Monitor and respond to emails in the WRQ Info inbox.
- Track and update jobs with pricing escalators and expiration dates, notifying the sales team.
- Handle customer mailings, including price announcements and special notices.
Meetings and Collaboration:
- Participate in monthly credit meetings and other relevant sessions as directed.
- Join sales team meetings with key customers to foster relationships and provide administrative support.
Reporting and Data Management:
- Prepare bi-monthly and monthly reports, including forecasts and historical data.
- Maintain the Project Quote Tracking report and update the sales team on changes.
- Develop and streamline reporting functions in collaboration with IT and the sales team.
- Create on-demand reports for customers as requested.
Credit Support:
- Assist the Credit Manager with notice-to-owner documentation, collections, and customer billing requirements.
- Notarize lien releases and handle credit applications for new customers.
- Maintain a running balance of the daily cash report and update end-of-day checklists.
- Build and maintain customer relationships to support effective collection efforts.
