POSITION TITLE: Membership/Event Coordinator, Temporary
Reports To: Vice President, Communications and Member Services
Number of Employees Supervised: 0
Objective: To provide planning and execution of the organization's membership initiatives and events that deliver a high-quality experience for our members, sponsors, honorees and other guests. This position requires project management skills, database management, vendor and sponsor relations, fiscal awareness, a marketing mindset, ability to multi-task, adherence to deadlines, attention to detail and excellent customer service.
Qualifications: Three to five years of experience in event planning, member/customer service or a related field. Bachelor’s degree in business, project management, marketing, hospitality or a related discipline is preferred. Certification in event planning or project management is also a plus. - Proven ability to handle multiple tasks simultaneously with strong organizational, communication and time management skills
- Creativity, problem-solving aptitude and an eye for detail to deliver high-quality events
- Previous experience in a customer service role; familiarity with member and customer relations databases
- Event marketing experience; familiarity with email marketing tools a plus
- Experience dealing with event venues and other vendors
- Competence with Microsoft suite of products, Excel
Essential Job Functions:
- Supports various event planning responsibilities to meet event goals and objectives, including marketing, registration, budgets, vendors and deliverables
- Manages relationships with vendors, ensuring compliance with all event specifications
- Serves as liaison with event venues, ensuring they meet all event requirements and standards; coordinates logistics such as accommodations and catering
- Collaborates with colleagues to market events to sponsors and guests
- Supports sponsorship outreach and assist sponsors with registration and fulfillment of all benefits
- Solicits and manages submissions for event program and ad book
- Supports the registration process, including maintaining accurate contact information in database, and tracks on registration numbers and targets
- Monitors event progress to meet preparation milestones, ensuring all planning phases are timely and organized; prepares regular tracking reports
- Supports on-site event execution, providing direction to event staff and troubleshooting any issues that arise
- Reviews budgets, prepares vendor payments and maintains organized records for post-event analysis
- Supports other member services duties as assigned
