Administrative Assistant

Staffing Now Jacksonville, FL (Onsite) Contract to Hire
SNI is seeking an Administrative Assistant to handle a range of administrative and clerical responsibilities. The role involves supporting our managers and staff, addressing daily office needs, and overseeing general administrative functions within the company. Key duties for this position include assisting various departments with ordering office supplies, managing mail services such as express packages and certified mail, as well as processing weekly payroll checks. The ideal candidate will possess strong oral and written communication skills and be proficient in organizing tasks using tools like Microsoft Office. If you have prior experience as an Administrative Assistant and are familiar with the construction, we would like to meet you. Ultimately, the successful Administrative Assistant will contribute to maintaining efficient day-to-day operations in the office.

General Responsibilities:
  • Answer phone calls and route them accordingly.
  • Receive and distribute mail to the designated departments.
  • Maintain confidentiality of all information at all times.
  • Draft and send emails, memos, letters, faxes, and various forms of correspondence.
  • Assist in organizing meetings and preparing necessary materials.
  • Manage all express deliveries effectively.
  • Foster positive relationships with vendors.
  • Order office supplies while researching new deals and suppliers for cost-effectiveness.
  • Ensure the office environment is clean and presents a positive impression to staff and guests.
  • Support the hiring process and onboarding for new employees.
  • Handle general clerical tasks such as filing and data entry.
  • Provide assistance to visitors as needed.
  • Serve as the primary point of contact for both internal teams and external clients.
  • Collaborate with executive assistants to manage requests from senior managers.

General Requirements:
  • Minimum of 3 years of experience in customer service and office clerical roles.
  • Proficient in Microsoft Office Suite, including Outlook, Word, and Excel
  • Familiarity with Microsoft Teams
  • Availability to work onsite from Monday to Friday
  • Capable of maintaining confidentiality
  • Strong time management skills with the ability to prioritize tasks effectively
  • Keen attention to detail along with problem-solving abilities
  • Excellent written and verbal communication skills
  • Well-organized with the capacity to manage multiple tasks simultaneously
  • High School diploma; additional qualifications as an Administrative Assistant are a plus
