JOB TITLE: School Secretary
REPORTS TO: Executive Director
PRIMARY FUNCTION: Supports the daily operations of the program by managing central office activities and performing secretarial and clerical functions.
DUTIES AND RESPONSIBILITIES:
Maintains all central office files and records.
Prepares intake packets for prospective students.
Updates Student/Parent Handbook as needed.
Prepares correspondence and mailings.
Schedules and maintains appointment calendar and notifies appropriate personnel of changes.
Serves as the receptionist in the central office for students, visitors, and answers incoming calls, prepares messages and keeps a call log.
Maintains current roster of staff, students, LEAS, transportation, and vendors with contact information.
Collects, maintains, and reports school attendance records, and other related information.
Other duties include, but are not limited to, the following tasks:
Records all student absences in designated registers daily.
Telephones parents/guardians to notify of a student’s absence.
Maintains an ongoing log of all parental responses relevant to a student’s absence.
Maintains quarterly summaries depicting each student’s attendance record.
Provides student attendance records to authorized personnel outside the realm of school at director’s request.
Generates a letter to a student’s Child Study Team case manager when an absence of five (5) consecutive days occurs.
Adheres to strict confidentiality of information and data regarding students and staff.
Performs other duties as requested by director.
EDUCATION AND CERTIFICATION:
High School Diploma
QUALIFICATIONS:
Excellent oral and written communications skills.
Organized and applies attention to detail
Ability to maintain confidentiality
Ability to use MS Office Suite (MS Word, Excel, PowerPoint, Teams, Outlook)
Ability to work in a fast-paced environment
