Job Summary:
We are looking for a meticulous and organized Part-time Accounts Payable Specialist (20 hours of week, in-office) to join our finance team. The successful candidate will be responsible for processing invoices, managing vendor relationships, and ensuring timely and accurate payments. This role requires attention to detail, strong communication skills, and a commitment to maintaining accurate financial records.

We are looking for a meticulous and organized Part-time Accounts Payable Specialist (20 hours of week, in-office) to join our finance team. The successful candidate will be responsible for processing invoices, managing vendor relationships, and ensuring timely and accurate payments. This role requires attention to detail, strong communication skills, and a commitment to maintaining accurate financial records.
Key Responsibilities:
- Process and code incoming invoices in accordance with company policies and procedures.
- Verify and reconcile discrepancies between purchase orders, invoices, and receipts.
- Ensure that all vendor payments are processed promptly and accurately.
- Review and reconcile vendor statements to ensure that accounts are up to date.
- Maintain and update vendor records, including contact details and payment terms.
- Prepare and process payment runs via check, bank transfer, or other methods as needed.
- Assist in month-end and year-end closing activities, including accruals and reconciliations.
- Handle inquiries from vendors and resolve issues in a timely and professional manner.
- Monitor accounts for overdue payments and initiate follow-up communication.
- Ensure compliance with internal controls and financial policies.
- Assist with audits and provide necessary documentation as requested.
- Support other accounting functions and team members as needed.
Qualifications:
- High school diploma or equivalent required; an associate’s or bachelor’s degree in Accounting or Finance is a plus.
- Previous experience in accounts payable or a related finance role preferred.
- Proficiency in accounting software and Microsoft Office Suite (especially Excel).
- Proficiency in QuickBooks
- Strong attention to detail and accuracy in data entry.
- Ability to work effectively in a team environment and manage time efficiently.
- Excellent communication and interpersonal skills.
- Strong problem-solving and organizational abilities.
