Project Admin
Job Overview:
We are seeking a highly organized and detail-oriented Project Administrator to join our team. In this role, you will be responsible for supporting the project management team by handling administrative tasks, ensuring project documentation is up to date, assisting with communication and coordination, and contributing to the overall smooth operation of projects from initiation through completion. The ideal candidate will have strong organizational skills, excellent communication abilities, and experience in project administration or similar roles.
Key Responsibilities:

Project Documentation Management: Maintain, update, and organize project documentation, including project plans, schedules, budgets, meeting minutes, and status reports.

Scheduling & Coordination: Assist in the scheduling of meetings, client calls, and project milestones. Coordinate resources and logistics for team meetings and project events.

Communication: Serve as a point of contact for internal and external stakeholders, ensuring clear and effective communication regarding project updates, timelines, and deliverables.

Budget Tracking & Reporting: Support the project team in monitoring project expenses and ensure budgetary controls are in place. Assist with financial reporting and forecasting.

Tracking Project Progress: Assist with the tracking of project timelines, deliverables, and milestones. Help prepare regular project status updates and assist with reporting to senior management.

Risk & Issue Management: Track project risks and issues, and communicate them to the project manager in a timely manner. Help ensure risks are mitigated as per the project's needs.

Resource Allocation: Help in tracking resource availability and utilization to ensure that project teams have the necessary tools and personnel to meet deadlines.

Administrative Support: Provide general administrative support to the project management team, including preparing reports, presentations, and handling various clerical tasks.

Document Control: Maintain and organize the version control of project documents, ensuring all documents are up to date and readily accessible to team members.
Required Skills and Qualifications:
- Proven experience as a Project Administrator, Project Assistant, or in a similar administrative role.
- Strong organizational skills with the ability to handle multiple tasks and deadlines.
- Proficiency with project management software (e.g., MS Project, Trello, Asana) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Ability to work well under pressure and manage multiple priorities.
- Strong attention to detail and accuracy.
- Familiarity with budgeting, financial reports, and tracking project costs is a plus.
Preferred Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field.
- Experience with Agile or Waterfall project management methodologies.
- Basic knowledge of project management processes and principles.
