HR Generalist

Staffing Now Manville, NJ (Onsite) Contractor


A non-profit in Somerset County is looking to fill a position for an HR Generalist.

The position will focus mainly on recruiting, onboarding and preparing documents.

JOB SUMMARY: Assist the Director of Human Resources with overall operations of the Human Resources Department, with a primary focus on areas relating to Benefits administration (COBRA, O/E plan renewals, employee claim follow-up, etc.), Policy compliance, wellness initiatives, HRIS data integrity and reports.

LOCATION: As per the need of the service; generally, work is performed in the Main Office.

DUTIES:
 
  • Handle all information in the Human Resources (HR) Department confidentially and professionally.
  • Uphold the Code of Ethical Conduct and corporate compliance policy.
  • Prepare communication materials for employees on issues relating to compensation practices, announcements, benefit plans, etc. Prepare and distribute Annual Benefits Statements.
  • Participate in meetings, conferences, training programs, or other educational forums as needed or as deemed appropriate.
  • Provide verifications of employment.
  • Prepare Annual Diversity Report (EEO-1).
  • Conduct internal audits periodically.
  • Review 401k and benefits deduction reports.
  • Ensure paperless personnel files are maintained and items are scanned and electronically filed.
  • Process interoffice transfer requests as well as draft the appropriate transfer letter.
  • Coordinate and partner with Finance regularly with compensation changes/time attendance, status changes, and employee transfers (including bi-monthly position and rate change reporting to Finance).
  • May require conducting mandatory training (both classroom and CDS online) as required.
  • Responsible for performing all tasks relating to recruitment, placing advertisements, preparing internal and external postings, phone screenings, reference checks, scheduling, and conducting pre-orientation.
  • Responsible for entering and maintaining I-9 Verification forms and employment authorization documents in E-Verify.
  • Complete monthly vacancy/turnover reporting.
  • Participate in conducting the Human Resources segment of Pre-Orientation
  • Participate in employee disciplinary issues, including counseling supervisors, preparing notices, maintaining records, etc.
  • Organize and/or coordinate the completion of special department/agency projects.
  • Act as a resource to Agency staff on various issues relating to employment.
  • Prepare or assist in preparation of training materials, information to employees, development and implementation of policies/practices, performance assessments and related materials, materials for litigation or other related purposes, etc.
  • Responsible for all HRIS employee data system updates, data entry, and changes (i.e., fingerprinting, training, pay rates, Mantoux, transfers, etc.) - ensuring paperless personnel files are maintained and items are scanned and electronically filed.
  • Communicate any issues/ concerns, breaches of confidentiality, and /or conflicts of interest to the Director of HR or Executive Staff.
  • Serve as an internal administrator and resource for ADP Workforce Now issues, required data entry in system modules, and coordinate with ADP specialists if necessary.
  • Onboarding Seasonal Camp employees.
  • Perform internal audits to ensure compliance.
  • Cooperate with the Licensee and Department staff in any inspection or investigation.
  • Perform other duties as required by the nature of the position or as requested by the supervisor.

POSITION WITHIN TABLE OF ORGANIZATION: See “Table of Organization”

EDUCATION: Undergraduate (B.S. or B.A.) required. (Associate’s Degree with a minimum of three years of related experience may be substituted.)

EXPERIENCE/TRAINING: Two to four years of direct experience of direct experience in Personnel Administration is required. One to three years of office/clerical experience is required; well-developed computer operations experience is also required.  

EQUIPMENT: Operational knowledge and ability for general office equipment required (personal computer terminal, copier, telephone, facsimile machine, adding machine, etc.).

JUDGMENT AND INITIATIVE: Must be able to work with minimal supervision. Good professional judgment is needed and the demonstrated ability to prioritize multiple tasks of high importance. Must be able to complete all required documentation, reports, and logs.

COMMUNICATION SKILLS: Must have excellent oral and written communication skills in English for ongoing communication with staff, management, and internal and external contacts.

WORKING CONDITIONS/HAZARDS: Routine office work and occasional work in programs. The behavior of consumers may change dramatically without obvious cause, which may create, at times, hazardous situations.
