Director of First Impressions
As Director of First Impressions, you are responsible for providing excellent customer service for all our customers, either by phone or in person, answering questions or getting customers to the right place. This position is one of the most important in our company because you are the first person our customers encounter. The reception and kitchen areas must always look immaculate, giving our customers a great first impression.
Detailed responsibilities include but are not limited to:
• Administrative Duties
o Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
o Maintains stock and inventory of all office supplies, coordinates maintenance of office equipment when needed, and orders supplies when needed
o Directs visitors to the appropriate places; informs staff of arrived customer, makes photocopies of ID’s
o Daily mail sorting
o Makes cookies daily, maintains stock of guest amenities (soda, cookies, pens, etc.), and performs light housekeeping of reception areas, training room, and board rooms.
• Events Coordination:
o Corresponds with educational instructors directly when adding events to the EDU program, confirms class, and includes calendar invites
o Gathers all event information(head shot, bio, class description), publishes event information on our website, and maintains a file on events for possible use later
o Responsible for reserving boardrooms/training rooms for events on internal calendars
o Maintains and distributes RSVP lists/sign-in sheets to appropriate parties classes
o Enter RSVP information into constant contact
o Sets up EDU Training room with coffee, water, and cookies and gathers appropriate serving dishes for sponsors’ refreshments if necessary
• Recordings and Deposits:
o Receives Earnest Money Checks and loan documents daily - distributes to proper parties
§ Provides receipt of check that complies with our security policies
§ Uploads to Resware - when necessary
§ Deposits are done daily as needed
o Maintains security of all checks that are awaiting deposit by keeping an up-to-date log of all checks that have been deposited, shipped, or distributed to parties
o Recording of documents with various counties on occasion as needed.
Qualifications:
• High school diploma
• Basic knowledge of Microsoft Office Suite
• Knowledge of administrative and clerical procedures
• Knowledge of customer service principles and practices
• Ability to use multi-line telephone system
• Must be a self starter
• Attention to detail
• Problem solver
• People pleaser
• Bi-lingual or Multi-lingual a plus!
