Executive Assistant

They have an immediate need for an Executive Assistant.  This person will play a key role in keeping business initiatives on track and organized, and will be a part of a team of highly valued Executive Assistants

Job Duties
  • Provide administrative support to C-Level Executives.
  • Maintain a high level of organization and efficiency in managing schedules, calendars, and daily tasks for senior leaders.
  • Manage and prioritize incoming communications, including emails, phone calls, and mail.
  • Handle confidential information with discretion and always maintain the highest level of confidentiality.
  • Coordinate and schedule meetings, appointments, and travel arrangements for senior leaders.
  • Prepare and edit various documents, presentations, and reports for C-Level executives.
  • Communicate effectively with internal and external stakeholders, representing C-Level executives in a professional manner.
  • Anticipate the needs of C-Level executives and proactively assist in meeting those needs.
  • Take initiative to streamline processes and improve efficiency in the day-to-day operations of the senior leaders.
  • Collaborate with other team members to ensure seamless support for senior leaders. Manage and maintain expense reports and reimbursements.
  • Serve as a point of contact for other employees, clients, and external partners regarding matters related to senior leaders.
  • Keep up to date on company policies, procedures, and initiatives to accurately represent senior leaders.
  • Act as a liaison between senior leaders and other departments within the company.

Qualifications
  • 8-10 years of relevant experience
  • Professional presence with a high degree of energy and enthusiasm
  • Excellent verbal and written communication skills, with a desire to build relationships with internal and external stakeholders
  • Highly collaborative team player, with confidence to interact one-on-one with senior leaders and/or intermediaries when necessary
  • Effectively and independently prioritize competing priorities, and appropriately assign urgency levels to various tasks
  • Exceptional customer service focus, including attention to detail and producing quality results
  • Proactive problem solver with high degree of resourcefulness and intellectual curiosity
  • Must exhibit high degree of integrity and discretion as it relates to safeguarding confidential information
  • Proficiency in MS Office, including Outlook and Excel
